The Oak Hill PTO is looking for a Co-President, two Co-Treasurers and a Communications Secretary for the 2016-17 school year. Please review the Job Descriptions below. If interested, please email info@oakhillpto.org
Co-President (Zervas Rep)
- Attend monthly board and PTO council meetings
- Create agendas and lead PTO meetings
- Meet regularly with Principal regarding schedules, budgets etc.
- Act as point person to all school events
- Oversee permit collection and filing
- Liaise between administration and parent body
- With Executive Board, conduct voting on budgeting issues
Treasurer
- Reconcile budgets and expenses on a weekly basis
- Provide updated financial reports/statements at least bi-monthly to the PTO presidents
- Monitor and maintain our equity spending, submit equity report to NPS (due in late Nov or early Dec)
- Issue payments to vendors and volunteers
- Work closely with CASC liaisons for proper bookkeeping of these programs
- Record and issue 1099s to applicable vendors and volunteers
- File and maintain all State and Federally required documents (MA non-profit reports, tax returns, 1099s, etc)
Assistant Treasurer
- Make deposits to the bank
- Issue gift acknowledgement letters to donors
- Present at program events where monies will be handled, and reconcile cash boxes
- Maintain and organize the PTO Gmail account (I’ve been creating subfolders and moving mail items to the appropriate subfolders within Gmail account as all CC payment confirmation
- Assist the Treasurer with other tasks as necessary
Communication Secretary
- Set up and schedule all weekly newsletter blasts through Mailchimp
- Attend monthly meetings with Executive Committee
- Take notes and keep virtual folder organized
- Ensure notes are posted to website
